Introduction to Katekile ERP
The three Katekile apps, the four companies and how the modules fit together.
Katekile ERP is the core ERP system with three Katekile-specific apps installed on top. Together they shape it into a system built around how Katekile Worldwide sells, personalises and delivers cards.
The three Katekile apps
| App | What it adds | Where you see it |
|---|---|---|
Katekile Worldwide (katekile) |
Approval workflows for Quotations, Customers (KYC) and Suppliers (B-BBEE), Katekile roles and permissions, card-personalisation fields on Sales Orders and Work Orders, 20 role dashboards, 19 custom reports, Katekile print formats and automatic email notifications. | Everywhere in the desk: forms, lists, dashboards, reports. |
Katekile Manufacturing (katekile_manufacturing) |
A touch-friendly Shop Floor app at /katekile where operators run job cards step by step, plus the QR-coded Manufacturing Order print. |
/katekile and the Open on shop floor button on Work Orders. |
Katekile Theme (datavalue_theme_15) |
The branded sign-in page, the black-and-gold desk theme, and the role-based sidebar that shows each person only the menus for their job. | Sign-in page, top bar and left sidebar. |
The four companies
The system is set up for the Katekile group of trading entities. Every transaction carries a Company field, and the Katekile print formats change layout depending on which company issues the document.
| Company | Notes |
|---|---|
| Katekile Worldwide (Pty) Ltd | Main South African operating company (ZAR). |
| Katekile Worldwide (Mauritius) Ltd | Group entity. |
| Afritech International Limited | Group entity — uses the boxed Katekile quotation layout. |
| XH Smart Technology Africa (Pty) Ltd | Uses the letterhead-style proposal layout on quotations. |
How the business flows through the system
- Win the work — Leads, Prospects and Opportunities are worked by Sales. New customers go through KYC approval before they can be quoted.
- Quote and approve — a Customer Service Rep prepares a Quotation, a Katekile Sales Manager approves, rejects or sends it back for improvements. Approved quotations are emailed with the Katekile PDF.
- Order — the approved Quotation becomes a Sales Order carrying the card job details: chip model, first and last card number, layout and personalisation requirements.
- Buy — Procurement onboards suppliers through B-BBEE verification, runs RFQs, compares supplier quotes and raises Purchase Orders (only to approved suppliers). The warehouse receives goods; Finance books the supplier invoice.
- Make — a Work Order is created for the personalisation job. Operators run each step (data preparation, printing and embossing, chip encoding, QC, carrier insertion and mailing) on the Shop Floor app, in sequence.
- Ship and bill — the warehouse issues the Delivery Note, Finance raises and submits the Sales Invoice and records payments.
- Report — dashboards and reports give each role a live view, from the Executive Summary to AR ageing and consolidated financials.
